Invoices
HelioFleet doesn't store your invoices itself - billing runs through Stripe, and invoices live in the Stripe customer portal. The console gives you a one-click link to get there.
Opening the billing portal#
- Open Admin → Subscription.
- Click Manage billing in the status card.
You're redirected to your tenant's Stripe customer portal. Inside the portal you can:
- Download invoices - every past charge has a downloadable PDF and a hosted invoice page.
- Update payment methods - add or change cards, set a default.
- Update billing details - company name, address, email the invoices are sent to.
- Add tax/VAT IDs - required in some jurisdictions for proper invoicing.
- See upcoming invoices - the next charge that's about to run, including any prorated upgrades you've made mid-cycle.
When you're done, close the Stripe tab and return to the console. Any changes you made in Stripe are picked up by HelioFleet automatically - no resync needed.
Invoice emails#
Stripe emails invoices and receipts to your tenant's billing email address (set during checkout, editable in the Stripe portal). HelioFleet itself never sends billing email - anything claiming to be a HelioFleet invoice that doesn't link to a real stripe.com page should be treated with suspicion.
Past due / failed payments#
If a payment fails, the Subscription tab shows a Past Due banner. Open Manage billing, fix the payment method, and Stripe will retry. There's no separate "retry" button - Stripe's dunning schedule runs automatically.
Refunds and corrections#
Refunds aren't self-serve. If you need one (a duplicate charge, an accidental upgrade, a billing dispute, or devices that were never assigned), contact support. Refunds are processed in Stripe and show up as credit notes on the corresponding invoice.
What if "Manage billing" doesn't open Stripe?#
A couple of edge cases:
- Pop-up blocker. The portal opens in the current tab, not a pop-up - but some browser extensions still flag the redirect. Allow
stripe.comin your extension's allowlist and retry.
